I’ve always thought of operations as the heartbeat of an organization. You may not always notice it, but it’s what keeps everything alive and moving. At Acclinate, that’s exactly what my team does. We’re the ones making sure contracts get signed, invoices go out, new hires feel supported, and compliance stays on track.
In my role as Operations Coordinator, I see how much of our success depends on these details being handled with care. When the processes behind these outcomes are seamless, our community-facing teams can focus on what matters most—building trust and fostering participation in research and health initiatives. But when operations lag, it creates a ripple effect. A missed deadline or a delayed invoice can slow down community engagement, hinder partnerships, and stall growth.
Our team fully understands that chain reaction, seeing itself as both silent and mighty. We work behind the scenes, but our impact is everywhere—from recruitment to customer engagement. We don’t just support projects—we empower our people, which is why investing in them has always been central to the way we operate.
One of the biggest misconceptions about operations is that it only entails paperwork, policies, and procedures. In reality, we’re just as invested in people as we are in systems.
Over the years, I’ve seen colleagues buy homes, start families, and advance into new roles—all milestones that our operational support helped make possible. Whether it’s offering benefits we couldn’t provide in the earliest days, reimbursing tuition for continued education, or expanding opportunities for professional development, operations fuels growth at every level.

Accountability boils down to one critical ingredient: discipline. At a fast-growing company, it can be tempting to adopt a “move fast and break things” mindset. But in operations, broken systems come at too high a cost.
That’s why we’ve built checks and balances into our workflows. Weekly progress notes give every team member visibility into what’s been accomplished and what obstacles need attention. Training logs tied to standard operating procedures (SOPs) keep us compliant across diverse projects and customer requirements. Internal dashboards track everything from completed tasks to upcoming deadlines, helping us catch issues before they snowball.
Even small details matter. Something as simple as making sure every new hire has an email signature and knows which scheduling tool we use prevents confusion down the road. These details might seem minor, but they build the accountability culture that protects both our people and our mission.
And because accountability starts the moment someone joins our team, we’ve put so much thought into strengthening onboarding and offboarding.
At Acclinate, growth has meant rethinking and strengthening the way we welcome new team members. What began as a brief orientation has become a structured three-week onboarding process, with every step documented and tracked in our project management system.
This approach ensures that new hires—many of whom are remote—don’t miss critical context or resources. They start with the knowledge, tools, and confidence they need to succeed. It reflects our belief that accountability begins on day one and continues throughout a person’s journey with Acclinate. And when these systems are tested, they prove their value.
Last year, we underwent a rigorous audit with a long-standing customer. Preparing for it took six weeks of collaboration across teams, and the audit itself stretched over several days. The stakes were high. Sure we had to prove compliance. But we also had to show we were capable of scaling to meet greater needs.
Because our systems were strong, every unit of the company gave consistent answers, our SOPs stood up to scrutiny, and we demonstrated the reliability the customer was looking for. The result? Not only did we pass the audit, but we earned the opportunity to extend and expand our work with them.
That moment reaffirmed something I believe deeply: when done right, seamless operations open doors to bigger opportunities and greater impact.
Operations at Acclinate are always evolving. As we grow, we’re finding new ways to strengthen our systems—whether through tools like a learning management platform to improve training or AI solutions that help us stay lean while scaling responsibly.
Equally important is the human side. Thoughtful touches—like sending birthday cards, celebrating milestones, and carving out space for wellness at our retreats—show our team members that they’re valued. Pairing these with strong systems creates the balance that keeps our engine running.
